Office Administrator

Job Type: Part-time, non-exempt, set weekly pay

Summary: The office administrator will be responsible for performing a range of clerical and administrative tasks to support daily operations in an office setting. This role involves managing office supplies, keeping common areas tidy, handling incoming communications, and providing critical administrative support to the Leadership team. The office administrator will also assist with special projects, manage facilities, and coordinate meetings and events. This position requires a proactive individual who can handle multiple responsibilities while providing exceptional support to our team.

Responsibilities:

  • Customer Service
    • Answer and direct phone calls and visitors.
    • Maintain a welcoming and organized office.
    • Assist with incoming order coordination.
  • Office Management
    • Maintain office supply stock and reordering.
    • Oversee cleanliness and organization of office spaces.
    • Coordinate office maintenance and repairs.
    • Filing organization and migration.
    • Collect and sort mail.
    • Manage office security procedures, including access control & visitor management.
    • NAS vehicle & truck coordination (claims, renewals etc.)
  • Administrative Support
    • Lead all formula updates and communication.
    • Assist with entry of account payable items to Quickbooks and batching software.
    • Prepare and distribute documents, reports, and presentations as assigned.
    • Assist with weekly/monthly expense and pricing reports.
    • Assist in the coordination of meetings, schedules and travel accommodations.
    • Print documents that are needed (receiver slips, production records etc.)
    • Oversee the printing of all tags needed for production orders.
    • Other projects and tasks as assigned.

Qualifications:

Required:

  • Proven experience as an office administrator, office assistant, or bookkeeper.
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook in particular) and QuickBooks.
  • Strong organizational and multitasking skills with attention to detail and accuracy.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to prioritize tasks and work independently and maintain confidentiality.
  • Strong data entry and analysis skills.

Preferred:

  • Associates Degree in Accounting and proven experience as an office administrator, office assistant, or bookkeeper.
  • Knowledge of bookkeeping and generally accepted accounting principles.
  • Ability to problem solve and think critically.

Working Conditions:

  • Part-time (set 3 days per week)
  • Typical office environment.
  • Ability to lift or move office supplies and equipment as needed.
